Tommy Titan Mascot Reservation Guidelines

 

1. Mascot requests must be submitted two (2) weeks or more prior to the event date. Additional charge may be assessed if request is processed less than two weeks in advance.
2. If the mascot is able to be at your event you will receive an email confirmation from the Mascot Coordinator within two (2) weeks of the event date (earlier if at all possible). At that time, we will confirm the date/time/location of your event and also give you the name and contact information for the student who will be the mascot at your event.
3. Due to scheduling and availability, if the mascot would not be able to make an appearance at your event, you will be notified via email within one (1) week prior to the event date (earlier if at all possible).
4. The University of Detroit Mercy reserves the right to refuse any appearance. All requests for specific appearances will be left to the discretion of the Athletic Department. The Athletic Department will decide if any appearance conflicts with the best interests of the Department, its’ student-athletes, or coaches.
   1. Because of time demands on our students and their availability, UDM Athletics cannot guarantee that each requested appearance will be filled. Priority is given to mandatory Athletic-related responsibilities.
   2. Your request will be sent to our compliance department to assure that your organization and request is in line with NCAA rules.
5. The mascot will not make appearances in bars.
6. The mascot suits (costumes) are the property of UDM Athletics and are neither rented to the general public under any circumstances nor worn by anybody other than the students who are on the current mascot team. The mascot team consists of students who have attended the official annual tryout and been accepted onto the team.
7. A cleaning and/or repair fee will be charged to the organization if damage is done during the appearance. The requesting organization will need to pay attention to how people are treating “Tommy Titan” for the protection of the person and the costume.

 

Be prepared for the following during your “Tommy Titan” appearance

 

1. Requestor must provide a secure parking spot close to the event site for the mascot to park if the event is off campus. If there is any charge for parking (meter, parking garage, etc.), the Requestor is to pay for this in advance and/or provide a parking permit (if applicable to the event site).
2. A dressing area should be provided that is away from any crowds or fans.
   1. A public restroom is not sufficient in this case, unless it is only open to the performer.
3. Water when applicable.
4. Tommy Titan appearance will last no longer than 3 hours.
5. A handler (Additional University of Detroit Mercy ambassador) may accompany “Tommy” to your event. It is the responsibility of the handler to keep “Tommy” safe. They will cater to the needs of “Tommy” and only “Tommy”.

 

Promoting Appearances

 

1. Use of UDM name, logos, and trademark and/or any advertising that implies the support or sponsorship by UDM or UDM Athletics must be approved in writing by the UDM Athletic Department. Please check with the department for details.
2. UDM Athletics reserves the right to promote any and all athletic events during “Tommy Titan” appearances. This includes, but is not limited to the distribution of season ticket information, Junior Titans information, team posters, schedule cards, individual game promotional materials, individual game themed materials, fundraising efforts, community service opportunities, give away items, Donor/Titan Club materials, and special event information.
   1. If a handler accompanies “Tommy” to your event, they may photograph “Tommy” interacting with the crowd. University of Detroit Mercy Athletics reserves the right to use these photos as they see fit.
   2. Any photos taken with “Tommy” are asked to be shared with the UDM Athletic Department. If inappropriate pictures, social media posts, media stories, etc. are found to be libel towards the University of Detroit Mercy, legal actions may be taken by the UDM Athletic Department towards the booking group.

 

Pricing

*Note that “On-Campus” refers to the Main Campus location of University of Detroit Mercy. Any event that is at any Satellite Campus of UDM is considered to be an “Off-Campus” event and will be charged accordingly.
+Promotional Appearances include those of the University of Detroit Mercy Athletic Department, any UDM event, or an event that allows Tommy to be visible in a mass light. Examples of this include appearances at other colleges/universities, appearances at professional sporting events, or any other event the UDM Department of Athletics deems appropriate.

Payment

Payment must be received in full at least 48 hours prior to the confirmed appearance. Payments must be made via Visa, MasterCard or Discover credit card online through a CASHNet link that will be provided via a confirmation email to the requester. Payments can also be made through cash or check. Failure to remit payment in a timely manner will result in the cancellation of the appearance.

Cancellation

 

1. In the event that the scheduled appearance is cancelled, University of Detroit Mercy will grant a refund of the appearance fee on the following basis: cancellation made at least five (5) business days prior to the event--full refund; cancellation made five (5) up until day of event--50% refund.
2. If there is a change in the event date for any reason, University of Detroit Mercy cannot guarantee any accommodations for a new date. If any changes occur after the date has been confirmed, please notify the Mascot Coordinator as soon as possible.

UDM may reschedule or cancel an appearance for any reason, including changes in the Titans game schedule and unsafe or inclement weather. In the event UDM must cancel an appearance, you will receive a full refund of the appearance fee; however, University of Detroit Mercy will not provide a refund in the event of inclement weather or any other unavoidable incident that results in the cancellation or shortening of an appearance after “Tommy” has arrived at and/or begun performance at the event.
